My job is to make it easy for you to do your job. You can tell I don’t work for HMRC.

But now you have to send them data every quarter and that’s a pain for you. And you’re wondering how you’re going to squeeze this extra job into your already-busy life. And you don’t even get paid holidays.

There are two options in my world. Fully digitised and expensive with a software package subscription. I’ve tried a few and now only use Xero. You upload all your receipts and bank statements, categorise them and then submit to HMRC directly from Xero. You can even create your sales invoices and send them from Xero. And you can throw the paper away afterwards, if you like.

If you have employees you have to run a payroll, workplace pensions and make monthly submissions to HMRC. Xero Payroll will do that for you as well. It works well.

If you work in multiple currencies, guess what, yep, Xero.

So, Xero. Highly convenient. Quite high cost.

There is a second option if it’s just you and you’re not VAT registered.

I have created an Excel spreadsheet which can be filled straight from your downloaded bank data. It can handle your self-employed income & expenses and sales invoices. And if you rent out a property you have to keep all that side of your business separate and report it separately at the same time. The spreadsheet will cope with that for you.

Then, quarterly, we use what’s called bridging software to upload the figures to HMRC. There are a number of free-to-use websites.

You only have to remember one golden rule. Only one.

Get & keep all receipts when you buy anything.

If you’re VAT registered, for me it’s Xero and only Xero. I can sort that as well for you.

Before you reach for the phone, you’ll see there’s no number to call. I had to go Ex-Directory and now work entirely digitally. So you don’t even have to be located close to me for this to work. There’s a functioning enquiry box just below.
